Default Diary Actions


What are default diary actions?

By default, Moveware will always add a standardized list of diary actions to the Diary tab based on the status on a job, type of job/service (cost center), and job type.   

If you find yourself regularly editing the default diary actions populating on your Diary tab, we recommend contacting your Moveware System Administrator to improve your default settings.


Example:

Let’s review the following example to better understand how standard or default diary actions function in Moveware.

  • You start a Job in Status E.
  • As a result, a very small amount of diary actions will be there. However, when you move your job from status to status more actions will be added automatically.
  • In addition, a different set of actions may be added if you select an export versus an import or a local job, and a more specific set is added when you select either a Air shipment versus a Sea shipment.  

The Relationship Between Parent/Child Diary Actions

In Moveware, there is a relationship that exists between parent and child diary actions. Diary actions can be set to auto-populate dates based on a set variance of a linked parent diary action.

For example, the parent diary action could be “Send Quote to Client” and it could have a child diary action set up called “Follow up on Quote” configured to display X number of days after the parent. This number of days would be controlled by the variance entered in the child diary action.

The reason this parent-child relationship exists is to save time by not having to enter the date of every single diary action. Note that it is very important to always have dates populated against each diary action as this will help you use the Task diary more effectively and will ensure that nothing is being missed.

If you are finding that you are changing these dates more often than not, it is crucial to adjust the variance of the child diary actions to make sure they are populating more accurate dates. Keep in mind that the date being populated will not always be the exact date in all cases but it can be adjusted if needed and again will highlight any tasks that are overdue/get missed. You want to ensure that you are not clearing these dates completely as this means you will not get a reminder if a task is missed.
