Enter General Ledger Subcodes

Account subcodes are entered into Moveware from the General Ledger Setup window. Heading accounts are added first, these accounts are used as parent accounts for grouping and cannot be posted. Posting accounts can be grouped under Header accounts in up to 4 levels. Moveware automatically sets the parent account and account level (this is also the level of the account in the General Ledger).

Account subcodes are entered together with the companies, branches and cost centres that they are required for in order to generate the full account numbers. These accounts are created for each financial year irrespective of financial year status.

Note: Generally subcodes are imported in from a spreadsheet as part of the system implementation.


How to Enter New General Ledger Subcodes 

  1. Navigate to General Ledger > Setup in the main menu. Click the Add button or select and existing subcode and click the Copy button.
  2. Select the account Type and set the Class (this is Heading for a parent account).
  3. Enter the account Name and enter the Subcode (the base account number, usually 3 to 5 digits in length). The new account is grouped according to the Subcode.
  4. Select the Status of the account and choose a Linked Account.
  5. Set the Restrict field as required.
  6. Double click the Tax Code and Currency fields to set them if the subcode is for a posting account. Type any relevant account information in the Details field.
  7. To enter the Company and Branch, double click the relevant field and select a record. Alternatively click the All button if the account is for all companies and branches.
  8. To enter the Cost Centres, double click the relevant field and select a record. Alternatively click the Allbutton if the account is for all Cost Centres of your company. Note: Accounts will only be created for the Cost Centres set up for a Branch (regardless of the Cost Centres selected). To determine if the selected Cost Centre is allowed for the Branch, check the Cost Ctr field on Details tab of the Branch Management window.
  9. Click Save.
  10. To change the level of the account use the arrows  at the bottom right of the account listing.
  11. Click Save. Repeat for the remaining accounts.

Note: Subcodes may also be Reset and Deleted in the Subcodes tab of the General Ledger Setup window.
