Close a Day from the Operations Diary

Operations Managers can control whether new bookings can be entered onto a particular day by Sales Staff.  This is controlled in the Daily/Operations Diary, either by cautioning staff that the day is almost fully booked or by closing the day.

To activate the close bookings function, the Use Daily Diary Operation Date Warnings System Parameter must be set to Y.  You must also have Operations Manager access (Security Group 5 in Employee Management) to display the buttons used to caution staff about new bookings or close a day.  See Adding User Details for detail regarding security settings.

Clicking the Modify Daily Notes button  will open the Diary Day Notes screen.  You can then use the Caution  and Close  buttons to caution or close a day.

How to Caution a Day:

  1. In the Daily Diary screen, click the Modify Daily Notes button.
  2. In the Diary Day Notes screen, select the required Branch and Date and enter an optional message in the Details box.  This message will display to staff who try to add a diary action to this day.
  3. Click the Caution button.
  4. Click OK. The Notes for Day box on the Daily Diary screen will be shaded yellow and will display the message entered in step 2.

How to Close a Day:

  1. In the Daily Diary screen, click the Modify Daily Notes button.
  2. In the Diary Day Notes screen, select the required Branch and Date and enter an optional message in the Details box.  This message will display to staff who try to add a diary action to this day.
  3. Click the Close button.
  4. Click OK. The Notes for Day box on the Daily Diary screen will be shaded red and will display any message entered.
