The Diary Tab: Your Paperless, Automated Job Checklist

Diary actions are used in Moveware to keep track of job tasks, dates and client contact (including e-mails). Diary actions and tasks can be entered in the Diary tab of the Jobs Management module both manually and automatically, creating a paperless and automated check-list for your job activities and requirements. The Diary tab of the Jobs Management module is automatically populated with default actions for operational and coordination tasks once the service has been identified using the Job Type Creator.


The Diary and Operations

The Diary tab is an important feature of the Jobs Management module, as actions entered in the tab are used to populate the Daily (Operations) Diary and help the Operations Manager determine the workload for each day; for example, an action assigned to the Operations Diary will prompt a warning if the day is almost full or closed. Diary actions are also used to populate the Appointment Diary, Task Diary, Move Manager Diary, Warehouse and Crating Diary, and more, depending on the Administration settings


The Diary and Management

From a management perspective, the Diary Tab can be monitored to ensure jobs are being managed according to the appropriate standards and make the necessary corrections promptly. 

The list of actions can be filtered, and allows for easy tracking of the progress of a job. Notes and comments may be added to a Diary action in the Comment and Additional Notes fields. Additional Notes are also displayed in the Notes for Job field of the Daily Diary. 

Actions and tasks may be divided in to sub-tasks, with the parent task displayed in bold. If parent and child actions are linked, dates entered for parent actions will affect its child actions. For example, modifying a parent Delivery date would automatically calculate a child Unpack date. This is set up in the Administration module (see Diary Actions).  


How to Access the Diary tab:

  1. Click on the Jobs menu.
  2. Search for and select the job you want to work on.
  3. Click on the Diary Tab.

The Diary Interface:

Columns: 

  • Description: A short description of the Diary action.   
  • Date: The estimated date (and later the actual date) of completion.   
  • Start time and hours: The estimated (and later actual) start time and length of time in hours. For instance, if you have a survey scheduled, you can specify the specific scheduled start time, and specify approximately how long it will take.   
  • Assigned: Who the action is assigned to/who will complete the action.  
  • By: Who completed the action.   
  • Branch: Diary actions can be assigned to specific company branches.
  • Diary: Which of Moveware’s diary screens the information will display on. For instance: 
    • Operations (O): Actions will display in the Daily (Operations) Diary. Actions marked with the O will be visible on that diary but not on any others.
    • Warehouse (W): Actions that are relevant to the warehouse.   
  • Web: Diary actions with this flag are visible on the MoveWare Web Applications: 
  • S: Marks when you select multiple diary actions for bulk operations. Depending on your custom Moveware setup, this function might may not be accessible.

Colors: 

  •  An Action in green means that a task has been completed.    
  • An Action in black means that the task is pending.    
  • bolded action indicates that is a Parent task. Other action dates may depend on it. 
  • A task with a date in red means that a task is overdue based on the currently assigned date.     
  • blue Action is displayed in the Daily (Operations) Diary.
