Admin

224884C Added <Cost Option Transit Time> merge field for Email/paragraphs.

Description of Functionality: Added <Cost Option Transit Time> merge field for email/paragraphs.

Description of Use: This merge field is handy for the default cost option details section to bring in the transit time of the cost option. It merges against the transit time set against the destination country code of the cost option whilst looking at the cost option service type to determine which transit time it uses (i.e. one of air, groupage, LCL or default).


224884E Enhanced Data Import Features

Description of Functionality: Added locations import which caters for the new module storage interface & added following import fields & functionality (under Administration -> Utilities -> Data Import:

  • Creditors import: credit controller import field added
  • Debtors import: tax type & credit limit import fields added
  • Ability to output the import template to c:\temp\

Description of Use: In order to create an import spreadsheet template, drop the type combo down to the import file needed and click on the Excel button at the bottom or the screen. The following prompt will let you know where the import template has been saved to.


225747 System Parameter – Added ability to use both MMDDYY and DDMMYY date formats on one Database

Description of Functionality: Modified the system parameter ‘Use MM/DD/YY Date Format’ so that ‘B’ can be used to denote ‘Both’ formats. Each employee can then be customised to use their own preferred date format through the employee management screen which will effect date formats in parts of Moveware and reporting.

Note: In order to fully utilise the ‘B’ option, different Moveware shortcut needs to be setup for users on different date formats. This is so that date formats are pointing at the correct config file which drives the date format selected by the user.

N.B.: If users get a ‘bad date format string’ when running reports with the new settings then ensure that their windows account is customised to match the same date format as set within Moveware. I.e. you cannot use MMDDYY format if your windows account is set to use DDMMYY format.

Description of Use:

  1. Set System Parameter ‘Use MM/DD/YY Date Format’ to ‘B’.
  2. Under Employee Management -> Details -> Set ‘Use MM/DD/YYYY’ to ‘Y’ for users that wish to use this format.
    Steps below should be done by a Moveware support staff:
  3. Create a copy of the removals.pf file under the Moveware company folder and modify the -d parameter to mdy (or dmy if it was previously mdy).
  4. Create a new Moveware shortcut and change removals.pf to the newly created PF file under the ‘Target’ field of its properties.
  5. Users wishing to use the alternative date format should use this new shortcut and users who wish to stick to the current date format should continue to use the current Moveware shortcut and ensure that their ‘Use MM/DD/YYYY’ is set to ‘N’.

227124 New Appointment Diary

Description of Functionality: New Appointment Diary

New F3/Appointment Diary which shows a weekly view of appointments and allows the user to customise default list of staff and shows diary fully.

Description of Use: Users can toggle to the new appointment diary through the new view toggle in the current appointment diary. It can also be defaulted to open in the new view by setting system parameter ‘Use New Appointment Diary’ to ‘Y’.

Features include

  • ability to customise default list of staff

  • customise width & height of columns & rows
  • Group by staff or group by date
  • highlighting the selected date for easier find

227641 New Contacts management Screen

Description of Functionality: Added the ‘Customer Contacts’ Management screen which will allow users to see all contacts belonging to Debtors, Creditors, Agents & Removals (i.e. addresses) in one screen.

This screen allows users to edit those contacts by double clicking on the individual lines as well as allowing user to move contacts from one account to another.

Also added event logging against contacts. This screen can be accessed from the Sales screen


227848 Bug Fix – Log in Error

Client Specific – Excess

Description of Functionality: Changed login screen to put the hostname.txt file in C:\temp when the client is excess, this is due to security issues on the file share server.

227951 Bug Fix – Dairy Action Scroll – Lost the Bottom Arrow Down

Description of Functionality: Added screen resolution adjustment for the diary management screen, so that the top can list more diary actions for a larger screen size


228302 Add ability to set certain variables on moves by the postcode prefix

 – UK Only

Description of Functionality: Added a list of codes of type ‘Postcodes’ which are the UK postcode prefixes (e.g. SW11, SW18, etc.) that allows users to set defaults (such as countrycode, suburb & distance) to automatically pull through to the job when used.

This can also pull through a different countrycode per user branch basis (for companies that use different zones for different branches) by using the comments field of the postcode code in a comma separated list as per example below:

e.g.

BR1,GBRG1

BR2,GBRG2

This will pull through GBRG1 to the countrycode GBRG1 when the user’s branch is set to BR1. If the user is from branch BR2, then it will automatically pull through GBRG2.

Description of Use: This allows users to modify a single postcode (e.g. SW11) rather than all SW11 postcodes to affect defaults.

It will also allow Moveware to update the UK postcode database without affecting company data. Since the defaults are now set against codes management rather than the postcode database.

228446 System Parameter – Validate Volume when Removal Booked

Description of Functionality: Exclude DSP DSI ASS and HCH job types from volume validation when set to other than Y (such as I, P) (on setup tab under validation)

Description of Use: If system parameter set to Y, then no change (validates as does previously)

If set to N then do not validate

If set to a status such as W, P or I, then validate on that status, but exclude the above job types

224476 New System Parameter – Debtors – Invoicing – Credit Note restriction

Description of Functionality: Added system parameter Creditor Note Positive Value Warning’, when turned on, if an invoice type is CR or ADJ, and invoice value is positive, a warning is displayed.


Diary

226960 Bug Fix – Closed Removals – Add Time button

Description of Functionality: This applies to companies using internal time sheeting

For diary based resource costing:

If a removal is closed, then the add time button on the removal diary screen should be disabled. Double click act column should result an error message “removal is closed”

For non-diary based resource costing

If a removal is closed, then double click act column should result an error message “removal is closed”

Description of Use: Check that use timesheet is Y (general tab), then close a removal, go to diary screen, double click act column, should not be able to add time

For diary based resource costing if the add time button on diary is visible, it should be disabled if removal is closed


226977 Added ability to filter by employee department in the old Apt Diary

Description of Functionality: Added a department filter in the old appointment diary which will allow users to filter by appointments assigned to users of certain departments.

Description of Use: Input in the department or multiple departments (separated by,) in the newly added department filter to show only reps belonging to the inputted department(s)


227618 Ability to Edit Start E in Operations Diary

Description of Functionality: Previously because RI uses diary based resource costing, it is not possible to edit StartE column in the big diary. A change is made to allow the edit, and update through to job diary

Description of Use: Go to big diary, enter time for StartE, save, and go to diary tab check the time has come through


227648 System Parameter – Default Labour and Vehicles to Confirmed

Description of Functionality: System parameter ‘Default labour and vehicles to confirmed’ now has a new status S, when set, labour and vehicles should go straight to Showed (green colour) when assigning from daily diary, both big and small


227855 Show resource allocations in New Appointment Diary

Description of Functionality: Added a toggle in the new appointment diary (at the top right hand corner below the exit button) which will show resource allocations on the filtered staff.

Resource allocations are the entries added via the employee management screen and time sheeting screen rather than those added from the diary and/or appointment screen.


227953 Diary Based Costing – Can Add Diary Actions Without Having To Run Job Type Creator

Description of Functionality: If a diary is set as non-applicable, from job diary screen, then the diary should not show in the task diary. Previously it was shown.

Description of Functionality: Change so on resolutions of 1900 or greater the vehicles and labour lists are moved further right to allow the vehicles and labour columns to be visible

228442 Diary Actions – Enable ADD button

Description of Functionality: Enable ADD Button in the Removals Diary Page for specific companies running Diary based resource costing. Previously the Smart Panel in the Diary Page was deactivated until the JTC was run.

228697 New System Parameter – Allow diary approval on diaries of types other than Ops

Description of Functionality: Added a ‘Operational Approval of Diary actions’ system parameter which when turned on will apply the current approval features used in Operational diary for non-ops diary actions as well.

Description of Use: The ‘Operational Approval of Diary actions’ system parameter must be set to ‘Y’.

Any non-ops diary actions needing to use this feature must be setup in codes management with the ‘default’ field set as ‘Y’ (Administration – > Moveware setup -> Codes Management -> Diary (type)). This will make any diaries of this type show up as blue in the job diary as well as the operational diary. The Ops/Warehouse/etc. manager will be able to approve these types of diary actions turning them into black.


228845 Added filter to show Approve diary actions only in the Daily Diary

Description of Functionality: Added a filter to show Approved diary actions only in the daily diary. (Defaulted to ‘Y’ to show only approved diary actions for Cadogan Tate)

228845 New System Parameter – ‘Notify Move Manager when actions are approved’

Description of Functionality: Added system parameter ‘Notify Move Manager when actions are approved’ (in the diary tab) which when set to ‘Y’ sends an alert back to the Move Manager of the job when a diary action has been approved by Ops.

Areas of Moveware/Companies Affected: Approval alerts in daily diary for all companies (sysparam based)

229363 Added height adjustment slider to new appointment diary

Description of Functionality: Added a row height adjustment slider which allows the user to adjust the height of the rows of the (new) appointment diary.


229953 Ability to default to any diary type and time frame (from today) when opening up the daily diary Screen

Description of Functionality: Added ability to default daily diary to any diary type depending on user setup. Also added ability to default to a specific time frame starting from today depending on the diary type.

Description of Use: To Default to a specific diary type:

Go to employee management -> user details, put in the diary type to default to ‘e.g. W for Warehouse’ under the Default Diary Type field. To Default diary to a specific time range starting from today:

Go to Codes management -> diary -> find the diary type that needs to have a time period and put the number of days to default the ‘To Date’ field from today in the short cut field. E.g. to show a weeks of diary actions for the warehouse diary, go to code ‘W’ and put 7 (i.e. 7 additional days) in the shortcut column – note that this is not user specific and will apply for all users that have this diary set as their default diary screen.


230378 Diary actions other than Operational ones can now use the approval functionality

Description of Functionality: Diary actions other than Operational can now use the approval functionality which turns the diary action to ‘blue/black’ depending on whether the diary has been approved or not. Simply set ‘Default’ to ‘Y’ against the diary action code under code management.

226086 Job Type Comments – Ability to edit at the Debtor/Tariff Level

Description of Functionality: In debtor management, job type tab, the users can put in debtor specific comment for the job type, this should be picked up in the JTC when the debtor matches, this comment is used instead of the generic one setup in job type management

226601 System Parameter – Ability to edit Folder Display options for DSP

Description of Functionality: Disable/Enable Tabs within Removals management based on system parameter folder options for DSP jobs

Description of Use: Under the General Tab of System Parameters, you can select which tabs are to be shown or hidden for DSP jobs (assuming that DSP is enabled on the system).

For current version 5.7.5, instead of system parameter, just coded for 3 companies, UTS, Elliott Relo and CT

Description of Functionality: Ability to Switch the Salesrep field in the Invoice Tab within Removals Management to update from the MoveManager field. For DSP Type Companies where a commission is given to MoveManagers (CSM) based on Invoiced Values.

Description of Use: Salesrep field on Invoice Tab in Removals Management when System Parameter is switched on will update from the MoveManager field. The field itself will be relabelled to CSM for “DS” Type Cost Centres and MM for all other Cost Centres

Description of Functionality: If an employee as marked as relo consultant, then this employee should appear in the sales rep lookup screen, set RC = Y

Email & SMS

221618 Read receipts

Description of Functionality: Add “Read receipt” functionality for Moveware emails, when sending from job or sending reports, in the email popup, there is now a toggle next to To field, for read receipt. If the user ticks the toggle, a read receipt is included in the email sent. Note this only works for outlook emails. If the system is setup to send emails using Moveware DLL. This function will not be available.

Description of Use: To send email from a job, click on email icon, you should see a toggle next to To field for read receipt, tick this toggle and the email sent should have a read receipt request in it. Make sure the system parameter send email using Moveware DLL is set to N.


226040 New Waybill Email Merge fields for Containers

Description of Functionality: New Waybill Email Merge fields

Following fields added to display the container length/width/height as seen in the waybill > details > Inventory stored on waybill section:

  • Container length

  • Container height

Take note it will only pick the information from the first container on waybill/manifest.

Description of Use: In Report Configuration > Email Setup screen, fields will now be available on email merge field list on right to be selected.

Description of Functionality: Fixed a problem in word merge field “branchformatted”, which gives double line breaks, added new merge field “displaybranchformatted”

Added in new tags for email, <Branch Formatted> and <Branch display Formatted>

Description of Use: Run new quote list report to check that the “branchformatted” field prints with only one line breaks for the branch address, check also for “branchdisplayformatted” comes through and also has one line breaks.

227652 Bug Fix – Paragraph not the same as removals email

Description of Functionality: The paragraph screen has field report name which is used for types, so changed label to types, and also added another field exclude types which could only be seen before in codes management

For email paragraph, at the moment, the system only checks removal type against types and exclude types set on the paragraph, it should now check waybill, rate request and storage types as well

Description of Use: Add paragraph in paragraph screen, check that the exclude types and types fields are there, from a waybill bring up email and add a paragraph, check that the paragraphs shown match the type of waybill.


227904 Bug Fix – Paragraph Merge Field ‘Revenue’ Issue

Description of Functionality: Fixed “Revenue” merge field when used in paragraph or email merges to prevent blank spaces in front of value. Previously padded out merge value with spaces for unused numbers between currency symbol and value.

Description of Use: The “Revenue” field can be used to populate the value from the Revenue field on the Removals Management Details tab into email text and also can be used in the Paragraphs available in the special notes field and email screens. No changes to Moveware are required to enable this change.

Areas of Moveware/Companies Affected: Email features where the Revenue field is used, Notes dialogs where users select Paragraphs. Affects all companies.

229797 Bug Fix – Branch email not working for debtor statements

Description of Functionality:

– The statement report called from report section will now take branding email in consideration, this is working together with a system parameter called “Use Email Branding with Multiple Email Accounts”.

– If the statement report is called from report section, it didn’t look at the branding email of users.

Description of Use:

– On the email screen, from email field should select a brand email set against users according to the brand of a customer users send an email to.

– Users need to make sure that the system parameter “Use Email Branding with Multiple Email Accounts” under General tab is activated in order to see the change. Also, there must be a valid branding email set against employee setup under user details tab.

Description of Functionality: When send customs NES from waybill screen, if no insurance value entered from removals, then a validation should disallow the send to customs.

Description of Use: Go to waybill, check that no insurance values are entered for all removals attached, send or preview customs, a validation  should disallow it.

Description of Functionality: Adding 2 new merge fields for origin and destination country from waybill screen.

Description of Use: These new merge fields can be found in email tab of report configuration. They are at the bottom of the merge field list on the right hand column. The merge fields would be automatically changed to a country from waybill when sending an email.

144248 Creditor Payments Batch – Automatically populate the due date on a creditor purchase from the invoice date

Client Specific – Abels

Description of Functionality: For Abels, automatically populate the due date on a creditor purchase from the invoice date + days on the purchase terms.

Description of Use: The due date on the purchasing screen is automatically populated by calculating the number of days from the invoice date based on the terms set on the invoice.

E.g. Invoice date = 01/01/13 & Term = 30 days would cause the system to automatically populate the Due Date as 31/01/13.

Description of Functionality: Added a combo filter to the CRM search screen

Description of Use: Navigate to the CRM search screen, when selecting CRM type a combo list will display for user to select from

Description of Functionality: When update debtor on removal, if there are multiple cost options then user is asked to select cost option to update, otherwise system updates the cost option automatically

Description of Use: Select a removal with only 1 cost option, change debtor from detail screen, save, check cost option debtor updated. Select removal with multiple cost options, change debtor on detail screen, there should be a popup with cost options to Select, check the selected cost options have debtors updated.

Description of Functionality: When attach file in the purchase screen using file attach button, the attached file is copied to all the removals on the purchase lines.

Description of Use: Go to purchase screen, attach file, and check that the file is copied to the creditor folder as well as all the removal folders

Description of Functionality: When user manually change the est. qty of a cost line if the line has a variable rate assigned, it should re-find the rate bracket for the new qty, if it is a lump sum calculation type, the qty reverts back to 1 and qty is stored in the other field. Works only for Destination services products


226255 Receipt of private clients + Alert to MM

Description of Functionality: When a receipt is created on a private client, the move manager of the removal will get an alert

Description of Use: Create receipt for an invoice that is linked to a removal, and the client is a private client, and that the move manager is not blank on the removal, log in as move manager and check an alert is created


226360 Biller Approvals

Description of Functionality: To prevent multiple users overwrite biller approval information. Added 2 checks in removal details screen

Case 1: user 1 on detail screen and user 2 on invoice screen of same removal. User1 approves biller, user 2 goes into detail screen, the screen should refresh automatically to show biller is approved.

Case 2: Both users on detail screen of same removal, user 1 approve screen, user 2 makes some changes and saves the file, a popup message says the biller is approved by another user and turns to white


226523 New System Parameter – Default value for Print Statement/Invoice Debtor Fields

Description of Use: Go to General Ledger Journals and add a filter. Navigate to another screen in Moveware and go back to the Journals screen. The page will keep the same filters upon returning.

Description of Functionality: Added a basic calculator in Moveware.

Available via the Window Menu or from certain numeric fields in Moveware.

Description of Use: Besides accessing the calculator via Window > Show Calculator, to access the calculator from fields such as invoice charge rates, select the field and press the ‘+’ (plus) key.

A calculator should pop up displaying the selected field’s value by default. Performing calculations is simply done by using the buttons or typing in the calculations required via keyboard. Pressing the ‘=’ button or ENTER key will return the result of the entered calculations.

To overwrite the existing selected field’s value with the calculator value, press the OK button or press ENTER again after executing the calculation (i.e. ENTER (performs calculation) > ENTER).

Take note any invalid entries such as attempting to divide by zero will simply return the value of 0.

Description of Functionality: Create an alert for the accounts team when the ‘Create Debtor on Status New’ system parameter is set to ‘Y’ and a user creates a Debtor on the New Status.

A reciprocal alert is sent back to the user when the accounts team approves the newly created debtor (i.e. by setting the debtor status from New to Active).

Description of Use:

1. When a coordinator creates a new debtor, it will be assigned as status ‘New’. An alert is triggered to anyone in the accounts team set to receive the alert (i.e. any user with security group ‘4’ or ‘A’ (and @ for Packimpex & Harrow Green) and has notify of ‘New Customer’ set).

2. When the staff from the accounts team receives the alert, he/she will be prompted to send a receipt back to the user who triggered the alert (i.e. created the debtor) the accounts team should only trigger this alert when he/she has approved the debtor (i.e. set it to ‘Active’).

228833 Bug Fix – BI file size issue

Description of Functionality: The BI is a file that is created when the database is created. It stands for Before Image and contains records that are to be written to database. Progress dictates that records are not written to the database until a transaction block is completed.

Progress by default adds in these transaction blocks but they can be manually overwritten through code to only have the transaction block active for a small period of time. The default Progress transaction block can encompass a large section of code that means the transaction block is active for a long period of time. Due to this the BI file has to grow as it is the temporary store for the records prior to them being written into the database. Once they are written to the database they are removed from the BI file, however the size of the BI does not reduce.

In this change the code that is run for several reports in Moveware has been transaction scoped. In doing this we have gone through the code and made sure the transaction blocks are only active for as short a period as possible. This means the load on the BI file is reduced as it can write the fewer records to the database at regularly intervals.

Description of Use: This change has occurred in the running of particular reports that use the work builder table. These include the Docket (Job Sheet, Work Sheet, etc.), Trail Balance reports, Tax reports, payslips to name a few.

To activate this feature, users must put “optionselect” in the filter of report configuration.  Users should get the report with only one cost option detail if select ‘yes’. On the other hand, every cost option will be produced, if ‘no’ is selected.

2. (P)rompt – when price locking the cost option, the user will be prompted to delete zero value cost lines.

3. (Y)es – automatically delete the cost lines with zero price and zero costs.

The deletion will not delete margin, total, parent and comment cost lines. This also will not delete insurance cost lines with 0 price set as often the acceptance of insurance is not known until quote acceptance is received.

Users can achieve this by putting in the diary types of those they wish to show in the system parameter in a comma separated list.

This only affects the diary based resource costing systems as the traditional diaries use the default field of the diary action setup to control whether it shows or not.

Description of Use: In the ‘Show diaries other than ops in the quick add’ system parameter, input in all the types of diaries that you wish to display in the quick add drop down in the job diary screen.

Traditionally this only showed diaries of type ‘O’ (i.e. operational) with non-blank key actions. You can now use comma separated list of diary types to show these diaries. E.g. O, S, W.

Leave system parameter as ‘N’ to turn this feature off and default back to the traditional way of deciding what diaries are shown in the quick drop down.

Description of Use: The button is a red cross next to the assign clearing agent button. To test this, go to any waybill with clearing agent assigned, click the remove clearing button to delete clearing agent and click save. The agent name shouldn’t appear after saving.

Description of Functionality: Renamed a field in the Removal > Exports tab to be labelled ‘CAED’ that can be used in Canada to assign a shipper specific custom reporting number. Previously the CAED value was stored in Moveware’s CRN field in the waybill screen. This was incorrect as it was waybill specific and not shipper specific, not allowing users to print the OBL instructions correctly.

Description of Use: To be used to record the CAED number in export shipments from Canada. It now allows for multiple CAED to be included in one groupage waybill

Description of Functionality: Currently when a removal is deleted from waybill, the shipment status on the removal does not reset correctly to R or N, have fixed so it resets to R or N

Description of Functionality: Added a new system parameter called “Show THC field” in waybill section.  The THC field in waybill details was hardcoded in.  Previously, only certain company could see THC field as default.

Description of Use: The new system parameter is in system parameter screen, other tab, and Waybill section.  If the parameter is set to ‘Y’, the THC field on details tab of waybill will be enabled, the field is in the middle column.
