Paragraph Management

In Moveware, it is possible to configure standard paragraphs that users can insert into different areas of a job file. These paragraphs can then be used in common client-facing documents and reports as needed. Paragraphs are configured from the Paragraph Management window. From here, standard paragraphs can be created, modified, or deleted.

The standard paragraphs can contain both static text and merge fields that pull dynamic information from each job file. The purpose of these paragraphs is to reduce the time spent manually filling out information repeated across many different areas of a job.

How to Add a Paragraph

  1. Navigate to Administration > Company Setup > Paragraphs.
  2. Click the Add button on the top left.
  3. Enter a Code Value and a Description
  4. Enter TypesExclude Types and Branches, if applicable 
  5. Set the Language, if applicable. 
  6. Enter a Lookup Sort if you’d like the paragraphs to appear in a certain order. 
  7. Add the required text in the text box on the bottom of the screen (if dynamic text is needed, use the ‘Insertions’ list to select the necessary merge fields).
  8. Once finished, click Save.  

How to Edit a Paragraph

  1. Navigate to Administration > Moveware Setup > Paragraphs
  2. Filter the records by typing the paragraph code in the Actual Code search box at the top of the Paragraphs window.
  3. Edit the text in the Paragraph field of the record as required.
  4. Double click a field in the Insertions list at the right of the window to add it to the text.
  5. Click Save.

The “DiaryParagraphComments” System Parameter

This system parameter is helpful for pulling through work instructions for the specific situations, depending on the type of client or service.

System Parameter DiaryParagraphComments: When set to Y, it will select the Comments (2) instead of Description (1) when inserting Paragraphs in the Additional Notes section on the Diary Tab.

As mentioned above, this only applies to the Paragraphs being added to the Additional Notes on the Diary Tab. See screenshots below:

Here, we double-click on the Additional Notes field to select the relevant paragraph.
Without the System Parameter activated, it displays as “Standard Inclusions”, which is the Description of the Paragraph.
Because the Parameter is set to Y, it now displays the Comments, which details the full list of Inclusions.

The “Default” Field in Paragraph Management

As demonstrated in the screenshot below, the Default field in Paragraph Management can also be used as an alternative way to either 1) show or 2) hide paragraphs in “SMS Paragraph Management” and “Paragraph Management”:
